California spans several distinct wedding markets, and planning fees vary as much as venues do between Napa, Los Angeles and the Central Coast.
Fees by service level
- Month-of coordination — $1,200–$2,800. The planner takes over 4–6 weeks out: timeline, vendor confirmations, running the day. The practical minimum for any wedding above 60 guests.
- Partial planning — $3,000–$6,000. Adds vendor sourcing and design from a few months out.
- Full-service — $6,000–$18,000+, frequently quoted as 10–20% of total spend. Standard for wine country weddings, multi-day events and anything with significant production.
What drives California pricing up
Wine country weddings carry more logistics than almost any other format: shuttles, accommodation blocks, welcome events and often a venue that is essentially a blank field requiring full build-out. Los Angeles pricing reflects both the market and permit complexity for non-traditional spaces. Coastal and state-park ceremonies need permits that a good planner handles for you — ask whether that is included or billed separately.
Questions before hiring
How many weddings do you take per month, and per weekend? Who from your team is present on the day? Do you receive commissions from vendors you recommend? What is the payment schedule, and what happens if we postpone? Is production management (rentals, lighting, build-out) included or extra?
Is it worth it?
For a straightforward 80-guest wedding at an all-inclusive venue, month-of coordination is usually enough. For a build-out venue, 150+ guests, or a weekend of events, full-service planning frequently pays for itself in vendor negotiation and avoided mistakes.
