Hiring a Mobile Bar for Your Wedding: Costs, Licensing and Questions

Mobile bars went from novelty to standard kit in a few short years — horse-trailer bars, espresso carts, full cocktail programs on wheels. Here's what to know before you book one.

What it costs

Most wedding bar services price per guest per hour, with packages commonly landing between $1,500 and $5,000 for a full reception depending on guest count, hours, and whether alcohol is included or you supply it. "Dry hire" (they pour, you buy the alcohol) is often the best-value structure where the law allows it.

The licensing question (ask it first)

Rules differ by state — that's why local matters. In Texas many services operate under your venue's or a caterer's permit; Washington has banquet permit rules; Arizona and Colorado outdoor venues usually require the bar to carry its own liability insurance. Any professional service will answer "are you licensed and insured for my venue?" in one sentence. If they can't, move on.

Questions that sort pros from hobbyists

  • Is liquor liability insurance included, and can my venue be named as additional insured?
  • How many bartenders per 100 guests? (Two is the working standard.)
  • Do you handle non-alcoholic programs and zero-proof signature drinks?
  • What's the power/water requirement at my site?
  • How do last-call and shutdown work with my venue's end time?
